Wedding planning starts with excitement and ends in scattered details: quotes in chats, payments nobody remembers and guest replies in different messages. A few weeks before the wedding you find you are over budget or that guests exceed the venue capacity.

This board gathers everything in one place: a budget per item with the vendor, what was paid and the next payment date, a guest list with replies, a task timeline whose dates follow the wedding date, then a countdown and cards showing commitments, balance and cost per guest.

Who is it for?

  • Couples planning to marry and their families
  • Event planners handling several clients
  • Anyone planning a honeymoon or a trip after the wedding
  • Anyone who wants to control a marriage budget

What is inside the sheet?

  • A thirty-item budget: estimate, contract price, paid and balance
  • Items split into wedding and honeymoon and six categories
  • A 100-record guest list with replies and tables
  • A twenty-task timeline with automatic due dates
  • A day countdown and the next six payments with a flag for near ones
  • Wedding cost per confirmed guest and honeymoon total
  • Warnings for exceeding budget or venue capacity

How to use it

  1. Enter the wedding date, budget and venue capacity.
  2. Add each item with estimate, contract price, paid amount and payment date.
  3. Log guests and their replies.
  4. Tick completed tasks and follow what is late.

Formulas used

  • Committed = contract price if present, otherwise the estimate
  • Balance = committed − paid
  • Cost per guest = wedding commitments ÷ confirmed guests
  • Task due date = wedding date − months × 30.4

Worked example from the sheet itself

Total commitment is 114,400, paid 49,100 and the balance 65,300.

  • The budget is 120,000, leaving 5,600 under it.
  • There are 132 invited people: 68 confirmed, 26 pending and 38 declined.
  • Wedding cost per confirmed guest is 1,250 and the honeymoon totals 29,400.
  • The next payment is the hall at 9,500 in 20 days, and tasks are 50% done.

Commitment, not estimate

An item estimate changes once you contract it. The board uses the contract price when you enter it and the estimate otherwise, so the total approaches reality as bookings progress and you learn early whether you will exceed the budget.

Upcoming payments

What overwhelms couples most is several payments falling at once. The board shows the next six payments with amounts and days and colours those due within two weeks, so you prepare cash ahead.

Guests and capacity

The hall depends on attendance, not invitations. The board adds confirmed and pending guests and warns if together they exceed capacity, and divides wedding cost by confirmed guests to show the true price per guest.

Dates from the wedding date

Every task is tied to months before the wedding, so if the date changes all the deadlines move with it and you do not rearrange them by hand.

Tips for best results

  • Ask for a written contract with payments and dates.
  • Keep an emergency line of about 10%.
  • Confirm attendance by phone a month ahead.
  • Budget the honeymoon separately so you can watch it.
