The last two weeks before handover are often a fight over snags: cracks, leaks and locks scattered across phone photos, files and papers. Nobody knows how many remain, who owns them, or whether handover is possible.
This sheet gathers every item in one list: each has a location, discipline, priority and owner, and the due date is computed automatically from its priority. It then shows closure rate, overdue items and each contractor status and states clearly whether the project is ready for handover.
Who is it for?
- Project managers and handover engineers
- Main contractors and subcontractors
- Villa and building owners at takeover
- Consultants and supervisors
What is inside the sheet?
- A 60-item list with location, discipline, description, priority and owner
- An editable SLA table of closure days per priority
- Due date, age and overdue computed automatically
- Cards: total, closure rate, open and overdue
- A handover readiness verdict by open count and high priority
- A table per responsible party with open, late and closure rate
- A chart by discipline, the oldest item and a guide
How to use it
- Enter the report date and the maximum open items for handover.
- Log each item with location, discipline, description, priority and owner.
- Update status and closed date.
- Read the readiness verdict and contractor table.
Formulas used
Due = raised date + priority SLA daysAge = (closed date or today) − raised dateOverdue if due < today and not closedClosure rate = closed ÷ totalReady = no open high priority and open ≤ the limit
Worked example from the sheet itself
15 items across three villas: 5 closed (33%), 10 open and 4 overdue.
- Two open items are high priority (a shower mixer leak and one item awaiting check), so the verdict is not ready.
- First Builders has 5 open, the most, and National Plumbing has two overdue items.
- Average age of open items is 6.9 days and the oldest is 15 days.
Priority sets the due date
A water leak should close in 3 days and a paint scratch in 14. The SLA table links each priority to a deadline, so you do not type a date for each item and overdue items show automatically.
Handover readiness
The readiness rule is that no high-priority item stays open and the open count does not exceed the limit you set (for example 5). Change the limit to suit your contract.
The responsible party
The contractor table shows who holds up handover: how many were logged against each, how many remain and how many are late. It helps when reviewing payment certificates and retention.
Documentation
Write the description precisely and pair it with the location. If you use photos, put their number in the description so you can find them quickly.
Tips for best results
- Walk from the top floor down.
- Log the item on site as you find it.
- Do not close an item before checking it.
- Send the contractor table to each contractor weekly.
